Setting up your iPhone with
Connect4's Exchange Email Hosting
Overview
If you have Connect4's Exchange Email Hosting Service, you may use
your iPhone to synchronize contacts, appointments and email with your
exchange service. This document will guide you through the
process.
Prerequisites
- ActiveSync must be enabled on your exchange email
account. you may do this yourself on the mailbox
CONTROL PANEL >
Wireless Email > ActiveSync, or, have Connect4 support turn
on this option for you.
- Your iPhone must be running v.2.0 software or later. You
may check and/or update your version via your iTunes
connection. You can also view your current version by going to
Home screen > Settings > General > About.
Setting Up Your iPhone
First,
you must add your exchange email account to your iPhone.
- Click on the "Settings" icon to go into the iPhone settings
area.
- Your Wi-fi network should be turned off to force the phone to
use your carrier's network to setup email on the phone, so, click
on "Wi-Fi" then set "Wi-Fi" to "Off" - then click on the "<-
settings" pointer at top to return to the main settings menu.
- From the main settings menu, choose the "Mail, contacts,
Calendars" option, then, "Add Account..."
- Click on the "Microsoft Exchange" option.
- Settings to be entered to this area can be found in
CONTROL PANEL >
Wireless Email > ActiveSync, or, may have been separately sent to
you via email.
- Email: Enter your complete main email
address - the same one that you use to login to Outlook web
Access.
- Domain/Username: The domain and user name
of your Exchange account goes here.
Depending on the version of your iPhone software, you may have
one field called "Username" or two fields called "Domain" and
"Username".
If you have one field, enter both domain and username it in
the format: domain\username
If you have two separate fields, enter each item in its own
field.

Click on your email address and then the Advanced tab).
- Password: The password of your Exchange
account.
- Description: A descriptive title that
identifies this account - i.e.: Jane's Exchange Account.
- Server: Enter the server address of your
exchange server. This information is also available in
Mailbox Manager > Welcome > Step 2 > ActiveSync > Server
Name.
- Use SSL: The Use SSL setting (if
displayed) must be on.
- Important Notes: After the Exchange
account is successfully configured, the server’s password
policies are enforced. If your current password doesn’t comply
with the Exchange ActiveSync policies, you will be prompted to
change or set your password to a new compliant one. The iPhone
won’t communicate with the Exchange server until you have a
compliant password.

Next, the device offers to immediately sync with the Exchange
server. If you choose not to sync at this time, you can turn
on calendar and contact syncing later in Settings > Mail,
Contacts, and Calendars. By default, Exchange ActiveSync
pushes new data to your device as it arrives on the server.
Important:
When you configure your iPhone to sync with Exchange, all
existing calendar and contact information on the iPhone is
overwritten. Additionally, iTunes no longer sync contacts and
calendars with your desktop computer as now they will be
auto-synced over the air with your exchange server.
To change how many day’s worth of data is synced to your
device, go to - Settings > Mail, Contacts, and Calendars. The
default setting is three days.
- Complete the setup process - click SAVE and
wait for the iPhone to test your incoming and outgoing mail
settings and connect to your mailbox.
- Turn On Wi-Fi: If you turned off Wi-Fi
earlier, you may now want to turn it back on if you have a Wi-Fi
network currently available.
Using Your iPhone
Your exchange email, contacts and calendar (if you selected all of
these in the setup) will all now be automatically synced with your
phone. changes made on your phone, or, outlook, or, outlook web
access will be pushed to all other areas within seconds of making the
change.
Some Important Usage Notes
Your iPhone uses up to three different networks to access exchange
server information. Two of these networks are provided by your
phone carrier (a 2g and 3g network) and the third is using Wi-Fi.
The phone will automatically manage syncing of your data by choosing
which of those networks is most appropriate to use at any point in
time, however, there is one situation where the phone does not manage
this correctly:
If you are within range of a public paid hotspot - (such as a
Starbucks location), the phone will recognize the Wi-Fi network and
attempt to use it if you have previously used it, adding it to your
"remembered networks list". Because these locations generally
require you to complete an authentication challenge in your web
browser before you may use them, the iPhone may fail to sync in those
locations unless you have opened the Safari browser and authenticated
to the wireless network.
In order to force the phone to sync in these public hotspot
locations, you will need to either turn off Wi-Fi on the iPhone, or,
open safari and authenticate to the wireless network.
Failure to sync in these locations is most often exhibited by
messages such as "Can't contact Server", or, Can't Move Email" when
you try and delete an email message. Once you leave range of the
Wi-Fi hotspot, your phone will begin syncing again normally.
Other Exchange Functions
Not all Exchange features are supported, including, for
example:
- Folder management
- Opening links in email to documents stored on Sharepoint
servers
- Task synchronization
- Setting an “out of office” auto-reply message
- Creating meeting invitations
- Flagging messages for follow-up
